Job Title: Front Office Receptionist/Advertising Administration Assistant

Main Objectives :

* Customer care is paramount and the post-holder is expected to represent the company, promote goodwill and enhance the Company's reputation at all times.
* Customer awareness, a commitment to self development, job involvement and personal contribution as well as being an active team player are all vital and should be reflected in the job at all times.
* To achieve revenue targets as set by the company
* To be fully aware of the range of the company's publications, procedures and services.
* To attend company meetings and training sessions as required by the company.

Job Requirements :

* To take advertisements, both directly from the public and over the telephone.
* Maintain the security and confidentiality of all customers, company material and information.
* To complete reception and advertising administrative functions as required by the company.
* To be responsible for the sale of newspapers and other items which are sold at front counter.
* To assist customers with all advertising, queries and requests.
* To re-canvass all customers who have placed private advertisements within our papers.
* To ensure that good working relationships are maintained within the department and with all other departments.
* Ensure that copy and order deadlines are met, copy is supplied in a legible manner and that correct copy procedures are adhered to at all times.
* Adhere to the company credit procedures at all times.
* To be aware of and strive to work with and toward the company and departmental business plans and objectives at all times.
* Endeavour to ensure that all enquiries to the front office and advertising are dealt with as quickly and efficiently as possible.
* To observe the lines of communication within the structure of the department.
* To balance monies taken through the till and be responsible for ensuring the correct procedures are used for all till transactions and banking.
* To carry out switchboard duties when required.
* To ensure that the front reception area is kept clean and tidy with up to date literature on display.
* To maintain customer records, marketing information, training notes or any additional information that may be required.
* Be of smart appearance and dress in a professional and appropriate manner at all times during working hours.
* Amend bookings as required by all offices.
* Book and administer house ads and all Citizens Guides advertising requirements.
* Run reports as required by the Advertising Manager .
